This is a very critical time for owners of fleets, trucking companies, and owner-operators who need to evaluate their responsibilities in regard to the HVUT tax. The due date of federal Form 2290 for use of heavy trucks in July 2026 is August 31, 2026.
Since the deadline is nearing, fleet owners should ensure that there are no errors while filing and all the eligible vehicles have been reported. It will help in avoiding any rejection by the IRS, late filing penalties, any problems regarding payments, and receiving Schedule 1.
Truck owners with more than one vehicle will need to start off by making a list of all the vehicles. Vehicles that have been:
should be reflected on the appropriate Form 2290 return.
Vehicle Identification Number (VIN) mistakes could create unnecessary documentation issues. Make sure to examine each VIN thoroughly against your vehicle title or registration document. If you own a large fleet, avoid using an outdated spreadsheet without confirmation of the details, since one wrong character in the VIN could result in a Form 2290 correction after filing.
The First Use Month (FUM) is what sets the appropriate filing deadline and may determine how much HVUT is to be reported.
For instance, the First Use Month of a vehicle placed in service on the roadways in July 2026 will have an August 31, 2026, Form 2290 filing deadline.
Fleet managers need to confirm the First Use Month of recently purchased vehicles rather than assuming that the vehicle's purchase date is its First Use Month.
Taxable gross weight of each vehicle needs to be reviewed. Form 2290 is mainly relevant to heavy highway motor vehicles whose taxable gross weight is 55,000 pounds or greater.
Taxable Gross Weight Category plays an important role in Heavy Vehicle Use Tax calculation.
If there are suspended units in your fleet, be sure to check on the mileage situation and documentation.
Suspended vehicles should normally be limited to the relevant mileage limit. For any vehicle that has exceeded the limit, more HVUT might be owed.
Make sure you maintain documentation for mileage, trips, and vehicles.
In case you owe taxes, then it is important that you have your HVUT payment made in full through an IRS-approved payment method.
Don't take for granted that just by filing the form, everything is done. Always check on your payments and keep a record of it.
Electronic filing of Form 2290 using eFile Form 2290 offers a convenient option to submit returns via electronic means to fleet owners.
Prior to filing, please check the return form completely for EIN, VIN, First Use Month, taxable gross weight, vehicle use and tax paid.
Once the IRS has received your return, acquire your IRS stamped/watermarked Schedule 1. It is considered the proof of your Form 2290 filing and can be a requirement for commercial vehicle registration or renewal.
Commercial fleet owners should keep the Schedule 1 with other tax records and file copies of it for every eligible filing.
Before August 31, 2026, check whether you have done the following things:
The last few days of the Form 2290 filing season should never be when you neglect little things. Owners of fleets who go through their vehicle data and file correctly have plenty of time to sort out any problems that could arise.
It is by keeping yourself organized and filling out your Form 2290 eFile, HVUT payment, and Schedule 1 in good time before the deadline that you can help yourself keep your commercial vehicles registered smoothly for the entire 2026–2027 tax year.
